AI Outreach Vendor Due Diligence Questions
Questions to verify an AI outreach vendor’s retention, training use, subprocessors, access, deletion, incidents, and export controls.

AI outreach vendor due diligence turns broad privacy concerns into questions you can verify. Ask about retention, training use, subprocessors, access, deletion, incidents, export, and operational controls for the exact product and plan. Do not infer a vendor’s practice from a feature page or from another service’s terms.
Start with data flow
Map what enters the system: CRM fields, public research, prompts, outputs, files, logs, model metadata, and support tickets. Identify where each item is stored, who can access it, which subprocessors receive it, and how it leaves. Include the drafting, preview, enrichment, translation, and sending paths separately; a vendor may use different services for each.
The [personalization data checklist](personalization checklist) helps minimize input before procurement. The [AI-generated review gate](AI review gate) helps define what human approval must remain after generation.
Ask separate, testable questions
Do not combine “Is our data private?” into one checkbox. Ask whether inputs and outputs are retained, for how long, whether they are used to train or improve models, which regions and subprocessors are involved, and which staff or support roles can access them. Ask how deletion and export work, what happens to backups, how incidents are reported, and whether audit logs are available.
Ask about workflow controls too: can sending be blocked until approval, can tools be restricted, can suppression state be preserved, and can a reviewer see sources and revisions? Request answers that are current, product-specific, and tied to the purchased plan or contract. Mark unknown, documented, contractual, and tested separately.
The ICO guidance covers governance, lawfulness, transparency, accuracy, security, minimization, and individual rights in AI contexts. The NIST Generative AI Profile provides a voluntary risk-management framework. Neither certifies a vendor or resolves your jurisdiction-specific obligations.
Record a go/no-go decision
Save the questionnaire, evidence links, answer date, owner, open risks, compensating controls, and re-review date. An unanswered retention or training-use question should remain open. If the workflow cannot meet your organization’s requirements, minimize further, choose another control boundary, or do not send the data.
Where RepMail fits
RepMail’s public README documents AI features, campaign execution, delivery telemetry, suppression, and audit-related infrastructure. It does not establish current contractual retention, training, or subprocessor terms for every deployment. Verify RepMail’s current documentation and agreement directly before making a procurement decision.

Frequently asked questions
Is AI-assisted outreach automatically compliant?
No. AI generation does not decide whether a message is lawful, truthful, properly identified, or correctly suppressed. Apply the requirements for the jurisdictions and providers involved, then record the reviewer’s decision.
Should a human approve AI-assisted outreach?
Yes. A human should check evidence, recipient fit, wording, merge behavior, opt-out handling, and send controls before approval. Fluency is not evidence of accuracy.
What should I ask an AI outreach vendor about data retention?
Ask what prompts, outputs, files, and metadata are retained; the retention period; deletion behavior; training or model-improvement use; subprocessors; access; regions; incident notice; and export. Verify answers for the exact plan and contract.
