Resolve Conflicting Prospect Data Before AI Outreach
Resolve conflicting CRM, enrichment, and public data with provenance, timestamps, quarantine rules, and a do-not-send gate.

When CRM, enrichment, and public sources disagree, do not ask an AI model to pick the most plausible value. First identify the field, preserve every value with provenance and timestamp, and apply a documented resolution rule. Unresolved identity, role, company, or suppression conflicts should block drafting and sending.
Name the conflict precisely
“Bad data” is too broad. Record whether the disagreement concerns company identity, person identity, job title, location, event date, domain, or suppression state. Two sources may appear inconsistent because they describe different dates or entities. Normalize the entity before comparing values.
Keep the original values. For each one, record source, URL or system, collection date, event date if known, scope, and confidence. The [personalization data checklist](personalization checklist) is useful after the conflict is resolved; it is not a substitute for retaining the evidence.
Apply a field-specific rule
Do not declare one source universally authoritative. A first-party company page may be strongest for a current role description, while an internal CRM record may carry the suppression decision. A source can be reliable for one field and stale for another. Compare freshness, directness, entity match, and scope. Have a named owner resolve the conflict and record the reason.
If the conflict is unresolved, quarantine the record. Do not let a model infer a role from a biography, merge two similar companies, or silently overwrite a suppression state. For identity and suppression conflicts, the default should be “do not send.” NIST’s Generative AI Profile supports lifecycle risk management, and the ICO guidance emphasizes accuracy, governance, and fairness; neither tells you which vendor field wins.
Re-check the rendered output
After approval, render blank, long, and unusual values. A corrected source can still produce a bad merge. The [CSV formatting guide](CSV formatting guide) explains how file defects surface late, while the [AI review gate](AI review gate) checks claims and recipient fit.
Where RepMail fits
RepMail’s public scope includes contact validation, campaign execution, delivery telemetry, and suppression, with AI features for templates, previews, and spam analysis. Its README does not establish an enrichment authority or automatic conflict resolver. Keep reconciliation policy and the do-not-send gate in your operating process.

Frequently asked questions
Is AI-assisted outreach automatically compliant?
No. AI generation does not decide whether a message is lawful, truthful, properly identified, or correctly suppressed. Apply the requirements for the jurisdictions and providers involved, then record the reviewer’s decision.
Should a human approve AI-assisted outreach?
Yes. A human should check evidence, recipient fit, wording, merge behavior, opt-out handling, and send controls before approval. Fluency is not evidence of accuracy.
Should AI choose between conflicting enrichment values?
Not by default. Preserve provenance and apply a documented source and freshness rule. If identity, role, or suppression status is still uncertain, quarantine the record and do not send.
