AI outreach draft version control is an audit trail for decisions, not a software-engineering ceremony. Preserve the source context, prompt and model version, generated text, edits, reviewer, decision, and rollback target. Without those pieces, a team can see the final email but not why a claim entered it or which evidence supported approval.

Create a minimal record

Give each draft a stable ID tied to the campaign and audience. Store the approved source-log IDs or input snapshot, checked dates, model/provider identifier, prompt version, generation timestamp, rendered subject and body, reviewer, decision, and reason for material edits. Keep suppression and compliance checks as explicit fields completed outside the writing step.

The [AI-generated review checklist](AI review checklist) identifies the content decisions worth recording: factuality, relevance, inference, value proposition, tone, merge behavior, and human approval. The [sequence quality checklist](sequence QA checklist) then reviews the campaign around the draft.

Compare rendered versions

A prose diff is not enough. Compare the populated message, including merge fields, links, sender identity, opt-out language, and formatting. A change from “may be exploring” to “is struggling” is material even when the sentence length is similar. Record who approved the change and why. If the source changed, link the new evidence or reject the draft.

Define rollback as a controlled state transition: identify the last approved version, freeze the newer version, re-run current suppression and compliance checks, and decide whether to resume. Do not automatically resend a previously approved message to contacts who have since opted out or bounced.

NIST’s Generative AI Profile describes lifecycle risk management and evaluation for generative AI. The practical implication here is traceability, not a mandated storage period. Set retention, access, deletion, and export rules with your organization’s security and privacy owners.

Where RepMail fits

RepMail’s public README documents audit logs, campaign execution, delivery telemetry, suppression, and AI features for templates, previews, and spam analysis. It does not document this exact draft-version workflow. Do not promise a product capability that has not been verified; keep the record in the system your team controls.

Frequently asked questions

Is AI-assisted outreach automatically compliant?

No. AI generation does not decide whether a message is lawful, truthful, properly identified, or correctly suppressed. Apply the requirements for the jurisdictions and providers involved, then record the reviewer’s decision.

Should a human approve AI-assisted outreach?

Yes. A human should check evidence, recipient fit, wording, merge behavior, opt-out handling, and send controls before approval. Fluency is not evidence of accuracy.

What should an AI outreach version record contain?

Record the draft ID, input/source snapshot, model and prompt version, generation time, rendered copy, diff, reviewer, decision, reason, checks, and rollback target. Apply your organization’s retention and access policy.
