Follow-Up After “Send Me More Information”
Fulfil an information request first, then offer one relevant next step without treating the request as permission for an unrelated sales sequence.

When someone asks for more information, fulfil the request before asking for anything else. Send the exact material, explain the most relevant part, and offer one optional next step tied to the stated need. The request is a reply state, not automatic permission for an unrelated sales sequence.
Match the material to the request
First, identify what “more information” meant in context: a guide, technical answer, comparison, implementation detail, or another specific item. If the request is ambiguous, ask a clarifying question or send the closest accurate resource while naming its limitation. Do not substitute a generic product pitch for the item the person requested.
Put the resource or answer near the top of the message. Add one sentence that points to the section most relevant to the recipient’s stated problem. If the resource has changed since the conversation, say so. Keep attachments and links purposeful, accessible, and current.
Offer one next step
After fulfilment, ask one focused question. You might ask which requirement matters most, whether a section answers the question, or whether a short technical exchange would help. Make the action optional and easy to decline. If the recipient asks not to be contacted, apply the correct suppression immediately. If they do not respond, record that the request was fulfilled and follow the documented state-based process rather than assuming ongoing interest.
The template below separates delivery from the next step so the message remains useful even when no meeting follows. Edge cases to handle
If the requested material is confidential, outdated, gated, or unavailable, say so plainly and offer an approved alternative. If the recipient asked for several items, group them under clear labels instead of hiding the answer inside a pitch. If the request came from a shared inbox, verify the intended recipient and preserve the original context. When the answer resolves the question completely, close the thread without adding a meeting ask. The next step is optional by design.
Confirm the handoff
When the material is delivered by another colleague or system, verify that the link works and that the recipient can access it. Note what was sent and when, so a later reply can be handled from the same context. This is especially important when the original request came through a shared inbox or a forwarded thread.

Frequently asked questions
What should I send when someone asks for more information?
Send the requested material first, with a short explanation of why it is relevant and what the recipient should look at. If you do not have the exact item, say so and offer the closest accurate alternative.
Should I add the requester to a follow-up sequence?
Not automatically. Record the request, deliver it, and use a context-appropriate next step. Follow your stated permissions, opt-out, and suppression process.
How should I ask whether the information helped?
Ask one focused question tied to the material, such as which requirement matters most or whether a particular section is relevant. Make it easy to reply with a correction or no.
